How to Issue a Refund
Refund Eligibility Rules
- The transaction is in Pending (Escrow) or Available status
- The transaction has not been withdrawn to your bank account
- The payment was a meeting fee (donations are non‑refundable)
Understanding Transaction Status
1. Pending (Escrow)
- This is the initial state after a member pays.
- A transaction remains in Pending until 48 hours after the end of the meeting it was associated with.
- Pending is also known as Escrow status.
- Refunds can be issued during this period.
2. Available
- After the 48‑hour post‑meeting window, the transaction automatically moves from Pending to Available.
- Available funds can be refunded or transferred to your bank account.
How to Issue a Refund
Transactions are listed by meeting, not by participant name.
Having the meeting name, date, and time makes it much faster to locate the correct transaction, especially if your organization hosts many meetings or has multiple payments on the same day.
In the Organization Management Module, select Transactions from the side menu.

The Transactions page will be displayed. You will see 5 tabs at the top of the page. Select either Pending or Available (based on the status definitions above).


The transactions of the meeting will be displayed. Find the transaction to be refunded, then select Refund.

What Happens After You Issue a Refund
The refund is listed as a separate transaction on the meeting's transaction list. The total payout amount is reduced accordingly.

The refund transaction is also listed under the Refunded tab.
