What is a Subscriber

Subscribers are members who have formally connected with your organization on HeyPeers. Subscribing creates a consent‑based relationship that allows your organization to access limited profile information about the member. This connection helps organizations understand who is engaging with their services and supports the administrative workflows that depend on subscriber data.

What Happens When Someone Subscribes 

When a member subscribes to your organization, two things occur:
  1. The member gives consent to share personal information.
    Members are shown what information will be shared with your organization. Subscribing confirms their consent.
  2. Your organization gains access to that information.
    The information you receive includes basic profile fields and, when enabled, any additional fields or survey responses your organization chooses to collect.
These two steps form the foundation of the subscriber relationship.

Why Organizations Use Subscriptions 

Organizations use subscriptions to:
  • Understand who is engaging with their services
  • Collect the information needed to support members effectively
  • Control access to meetings when subscription is required
  • Maintain accurate records of the individuals connected to their organization
Subscriber data collection is an optional platform feature that must be enabled by the HeyPeers Account Manager.
  • When subscriber data collection is enabled, members complete an intake form and organizations can customize the information they collect. 
  • When it is disabled, subscribing becomes a simple connection without additional data collection. In both cases, members are still considered subscribers.

The Subscription Process 

Subscribing requires members to complete the Subscriber Intake Form when subscriber data collection is enabled. The form has two parts:
  • Data Fields
    These include system‑required fields (username, first name, last name, and email) and any optional fields your organization chooses to collect.
  • Survey Questions
    These are optional questions created by your organization to gather additional information. Survey questions may use formats such as short answer, yes/no, one‑to‑five, or dropdown.
When subscriber data collection is disabled, members subscribe without completing an intake form.

How Subscription Affects Meeting Access 

Organizations may choose to require subscription before allowing members to register for meetings. When this setting is enabled:
  • Members must subscribe before they can complete a meeting registration
  • If a member has not subscribed, the subscription process will appear automatically during registration
If subscription is not required, members may still subscribe voluntarily to connect with your organization.

What Members See When They Are Subscribed 

Once subscribed:
  • The Subscribe button on your organization’s page becomes Unsubscribe
  • Members may unsubscribe at any time
  • Unsubscribing removes your organization’s access to their subscriber data and survey responses
If a member unsubscribes while they have active meeting registrations with your organization, they will be warned that those registrations will be canceled.
