Collecting and Accessing Subscriber Data
As part of the subscription process, your organization gains access to certain information about each subscriber. This information helps you understand who is connected to your organization, support members effectively, and manage subscriber‑related workflows. The Subscriber Details view shows exactly what information is available and how it appears to administrators.
Ways to Collect Subscriber Data
Your organization receives subscriber information in two layers:
- standard profile data that is always available, and
- additional customizable data that becomes available only when subscriber data collection is activated for your organization.
Standard Profile Information
All organizations receive a basic set of profile information from the member’s HeyPeers account, regardless of settings. This includes:
- First name
- Last name
- Username
- Email address
- Emergency contact name (if provided)
- Emergency contact number (if provided)
This information is always available and appears in the
Subscriber Details popup even when subscriber data collection is disabled.
Additional Data (when subscriber data collection is activated)
Subscriber data collection is a platform‑level feature that can be activated for your organization. Once activated, your organization can collect additional, customizable data in two ways:
1. Subscriber Intake Form
When subscriber data collection is activated, your organization can customize the
Subscriber Intake Form by choosing which data fields to collect from members during the subscription process. Some fields are permanently required because they are essential to the member’s HeyPeers account. Additional fields can be enabled or required depending on your organization’s needs.

2. Subscriber Survey Questions
Organizations may also add survey questions to the intake form. These questions allow you to collect additional information using formats such as:
- Short answer
- Yes/No
- One‑to‑five scale
- Dropdown
Survey responses appear in the
Subscriber Details popup and in exported data when subscriber data collection is activated.
Accessing Subscriber Details
In the Organization Management Module, select Subscribers from the left side menu.
The Subscribers page will be displayed. Scroll down below the subscriber charts to the list of your organization's subscribers.
Select the 3-dot icon (ellipsis) next to a subscriber. Select Details from the dropdown menu.
The Subscriber Details popup displays the information your organization has collected about a subscriber. The fields shown depend on whether subscriber data collection is activated.
When subscriber data collection is activated
The Details popup displays the full set of data collected through the intake form and survey.
When subscriber data collection is not activated
If subscriber data collection is not activated, the Details popup displays only the basic profile information shared by the member.
Exporting Subscriber Data
In addition to viewing subscriber details on screen, you can download subscriber information using the Export Data button on the Subscribers page.
An export file is generated in CSV format.
- If subscriber data collection is not activated, the file contains basic subscriber profile data.
- If subscriber data collection is activated, the file contains subscriber data fields from the intake form, as well as survey responses (if survey questions exist).
Exporting provides a complete, downloadable view of subscriber data for reporting, analysis, or record‑keeping.
