Managing the Waiting Room in HeyPeers Meetings

The Waiting Room is an optional meeting feature that controls when participants can enter your meeting. If the waiting room is turned on, participants cannot enter until the host is present and approves them. This article explains how to manage the waiting room during the meeting.

What You See as the Host 

When someone enters the waiting room, you will see a notification that a participant is waiting with the participant’s display name.

If the Participant Panel is not open, the notification will appear in the top right side of the screen.

If you have the Participant's Panel open, the notification will display at the top of the participant list. 

Select Allow to let the participant enter the meeting. Once admitted, the participant enters the meeting immediately.

Select Deny to block the participant from entering the meeting. 

What Participants See 

Participants cannot enter a HeyPeers meeting or its waiting room until the host is present. See Host Presence Required to Enter a HeyPeers Meeting for more information.

Once the host has joined the meeting, participants may proceed to enter. If the waiting room is activated for the meeting, participants are placed in the waiting room first (not directly into the meeting), where they wait for you to approve their entry.

Participants see the message "Waiting for host to respond" as they wait for you to let them in.

If You Leave the Meeting 

If you disconnect or leave the meeting:
  • New participants will be placed in the waiting room
  • They cannot enter until you return
  • Participants already inside the meeting remain in the meeting

Comparing the Waiting Room to the Registration Roster 

If you want to verify that participants in the waiting room are registered for the meeting, you can open the registration roster directly from inside the meeting.

In the top white menu bar, select Settings, then choose Registered Users
This opens the meeting’s registration roster in a new window, allowing you to compare the names in the waiting room with the official list of registered participants.
