Transactions

The Transactions page displays all financial activity for your organization, including:
  • Meeting fees
  • Donations
  • Refunds
  • Payout history
  • Pending and available balances
This page is the financial hub for your organization and is accessible only to team members with the appropriate permissions.

Access

Administrators Only
Important: Only the Administrator designated as Owner can withdraw (transfer) funds

In the Organization Management Module, select Transactions from the side menu.

The Transactions page will be displayed. The page opens to the Pending tab by default.

How the Transactions Page Is Organized 

The Transactions page displays totals by meeting. Each row represents a single meeting and shows the combined amount collected for that meeting based on its current stage in the payment lifecycle.

To view the individual transactions that make up these totals, select View Details next to the meeting.

Selecting View Details opens the meeting‑level transaction page, where you can see:
  • Participant name
  • Payment amount
  • Discount (if a coupon was used)
  • Donation tag (if applicable)
  • Transaction date
  • Refund button (if eligible)
  • Total Payout Amount

Understanding Transaction Status 

Each payment moves through several stages. These stages determine whether the funds can be refunded, whether they can be withdrawn, and which tab the transaction appears under.
Pending (Escrow)
  • Payments appear here immediately after a member pays.
  • A transaction remains in Pending until 48 hours after the end of the meeting it was associated with.
  • Pending is also known as Escrow status.
  • Refunds can be issued during this period.
  • Funds cannot be withdrawn yet.

Available
  • After the 48‑hour post‑meeting window, the transaction moves from Pending to Available.
  • Available funds can be refunded or withdrawn (Owner only)

In Transit
  • Funds that have been withdrawn and are on their way to your bank account
  • No actions can be taken on these transactions.

Received
  • Completed withdrawals that have arrived in your bank account.
  • These entries serve as your payout history.

Refunded
  • Payments that have been refunded to subscribers.
  • Refunds typically appear on the member’s card within 3–5 business days.

Withdrawing Funds

Withdrawing funds is not currently an automated process. It must be done manually.

On the Transactions page, go to the Available tab.

The Administrator designated as the Owner will see a Transfer button.

Click on the Transfer button to transfer the available balance to your organization's bank account. 


Funds typically arrive in your bank account in 2 business days.

Refunding Payments

Refunds can be issued only when:
  • The transaction is in Pending or Available status
  • The funds have not been withdrawn
  • The payment was a meeting fee (donations are non‑refundable)

Exporting Transactions 

You can export a report of all withdrawn transactions from the Received tab. This export includes every payment that has been transferred to your bank account, along with detailed information for accounting or reconciliation.

On the Transactions page, go to the Received tab. Select Export Transactions.

A pop‑up window appears where you can select a date range for the export. Choose a predefined date range or select Custom to input your own start and end dates.
Select Send Report.
Once the report has been generated (usually within 1–2 minutes), an email is sent to the Administrator who requested it.

The email contains a button labeled Download Transactions Report. This link is valid for one hour.

Export File Format

The export is delivered as a CSV file containing one row per transaction.
The file includes the following columns:
  • Transaction ID
  • Meeting ID
  • Meeting Name
  • Meeting Start Time
  • Original Amount ($)
  • Discount Amount ($)
  • Final Amount ($)
  • Payer First Name
  • Payer Last Name
  • Payer Email
  • Payer UserID
  • Donation
  • Status
  • Refund Transaction
  • Created At
This report provides a complete record of all withdrawn transactions for your selected date range.
