Administrator Emergency Join

Administrators can enter a meeting on an emergency basis, even if they are not listed as the Group Leader and are not registered for the meeting. This feature provides a “back‑door” entry method for situations where an administrator needs to immediately join a meeting to assist, intervene, or troubleshoot.

Access

Administrators only

In the Organization Management Module, select Meetings from the sidebar menu. In the drop‑down menu, select Upcoming.

The Upcoming Meetings page will be displayed.

Locate the meeting you need to join. Click the Options button for that meeting, then select Emergency Meeting Join in the drop-down menu.

🔴The Emergency Join option becomes available 15 minutes before the meeting start time and remains available for the entire meeting duration.

What Happens When You Use Emergency Join

When you use Emergency Join:
  • You enter the meeting as a host
  • You can approve participants from the waiting room
  • You are not added to the registration list
  • You are not counted in the attendee count
  • You do not appear as a meeting attendee

Your Access in HeyPeers Meetings

When you join a HeyPeers meeting using Emergency Join, you will not have access to the in-meeting menu bar:
This means you will not be able to:
  • Share documents in the meeting
  • Offer seats using the Standby functionality
  • Access the registration roster from within the meeting

      Your Access in Zoom Meetings

When you join a Zoom meeting using Emergency Join:
      • You enter as the primary host. If another host is already present, you take over the host role
      • Your display name is your Zoom account name
      • If another host is present, both hosts may appear under the same name in chat
      • You cannot access the Standby Room

Special Note on the JOIN button

The Upcoming Meetings page also displays a Join button for each meeting. This button allows you to enter the meeting as a participant, not as a host. You will not have any host controls. If the meeting has a waiting room enabled, you will remain in the waiting room until a host admits you.
