How to create a chat room
HeyPeers chat rooms are a great way for your organization to become a vital part of the HeyPeers community. Chat rooms are a great source of support for members because they are always open and free to any HeyPeers users.
New chat rooms can be created from within your organization’s management module on the Chatrooms page.
Select Organizations on the top menu bar.
Select Organizations on the top menu bar.

A list of all organizations will be displayed. Locate your organization's tile. Select Manage.

Your Organization Dashboard will be displayed. Select Chatrooms on the vertical menu bar.

The Chat rooms page will be displayed. This page will list all existing chatrooms belonging to your organization. Locate and select the Create New Chat room button.

Field Definitions:
- Name
Name of the chat room.
Choose a clear, descriptive name that tells members who the chat is for. Keep the name short and easy to scan, ideally 3-5 words.
- Description
The description field allows you to provide a brief but meaningful summary of your chat room. This summary helps potential users quickly understand the purpose and focus of the chat room, such as its topic, intended audience, and overall vibe. A well-crafted description makes your chat room stand out and ensures it attracts the right participants who share similar interests or goals.
Minimum Size: 80 characters
Maximum Size: 750 characters
- Banner
An optional graphic or picture displayed on the chat room's details page. It's typically used to represent the chat's purpose, theme, or personality and can include text, graphics, or photos that resonate with the group.
Recommended Size: 1800 x 220 pixels
Size Limit: 5MB
Formats: JPEG, PNG, GIF
- Owner and Primary Moderator
Use the dropdown list of your team members to select the owner of the chat room.
The owner of the chat room is the individual who creates and manages the chatroom. This person is responsible for setting its purpose, guidelines, and overall tone. This person moderates the chat conversations, manages members, and ensures a positive environment for discussions.
- Additional Moderator 1 and 2 (optional)
Additional moderators can be selected. These additional moderators will have full moderator functionality.
Use the dropdown list of your team members to select any additional moderators.
- Privacy
Select if this is a Private or Public chat room.
Private chat rooms are not visible on the Discover Chat rooms page and members must be invited to the room.
Public chat rooms are visible on the Discover Chatroom page and are open to all members.
Click on the Create Chatroom button to save your data and create the new chat room.

You will then be brought back to the Chat rooms page and your new chat room will be displayed.

What a member sees
Members access the chat rooms via the My Chat page.

On the My Chat page, each chat room is displayed as a tile.

Here, the member sees the information you entered:
- whether the chat room is public or private
- the chat room name
- the chat room description (up to 200 characters)
- the primary moderator (owner)
The member can select the Read More link to open the chat room's detail page.

On the details page, the member sees:
- the banner you uploaded (if any)
- whether the chat room is public or private
- the chat room name
- your organization's name
- the primary moderator (owner)
- the full chat room description
- the names of additional moderators 1 and 2 (if any)
