Surveys Page

The Surveys Page allows organizations to create, manage, and review the surveys used before and after meetings. Surveys can include any number of questions and can be assigned as either Pre‑Meeting or Post‑Meeting surveys when creating or editing a meeting.

Access

Administrators Only

In the Organization Management Module, select Surveys from the side-menu bar.

Page Overview

The Surveys Page displays all existing surveys in a table format. This includes both pre‑meeting and post‑meeting surveys. Each row shows the survey name (internal use only), the total number of questions, the date the survey was created, and an Options menu for managing the survey. The Surveys page also include an Add Survey button for creating new surveys.
Selecting View Questions opens the Survey Details page, where administrators can see and manage the individual questions within a survey. This page includes a table listing each question, its type, any custom message associated with it, when it was added, and an Options menu for editing, reordering, or deleting the question. The Survey Details page also includes buttons to Preview the full survey and Add Question.

Create a New Survey

To create a new survey, select Add Survey on the Surveys Page.
A pop‑up window appears where administrators can enter the Survey Name.
TIP: This name is for internal use only and is not shown to subscribers.  Choose a name that clearly identifies the survey, as it will appear in the dropdown lists used when assigning surveys to meetings.
After saving, the new survey appears in the table with zero questions. Begin adding questions by clicking Options, then selecting View Questions.

Add a New Question 

To add a new question to an existing survey, locate the survey on the Surveys page. Click Options, then select View Questions.

The Survey Details page opens. Click Add Question.

A pop-up form opens to input the new question.

    Add Question
    Input the question or statement.

    Custom Message
    An optional header that can be added above the survey question or group of questions. Custom Messages allow organizations to include instructions, clarifying statements, or section headers within a survey. When added, the message appears above the question and creates visual spacing, making it easier to group related questions into sections.

    Question Type
    Determines the format of a survey question and how subscribers will respond to it. Each type controls the kind of input allowed, such as selecting from a scale, choosing Yes or No, entering text, or picking from a dropdown list.

    Available Question Types

    • Short Answer
      Subscribers type a free‑form written response.
    • Likert Scale
      Subscribers choose from a standard agreement scale (Strongly Agree → Strongly Disagree).
    • Quality Scale
      Subscribers rate the quality of something (e.g., Excellent → Poor).
    • Satisfaction
      Subscribers rate their satisfaction level (e.g., Very Satisfied → Very Dissatisfied).
    • Yes/No
      Subscribers select either Yes or No.
    • 1–5 Rating
      Subscribers choose a number from 1 to 5.
    • Dropdown List
      Subscribers select one option from a predefined list.

      Note about Dropdown List Questions
      If Dropdown List is selected as the Question Type, an additional button labeled Add Option appears. Administrators can use this button to enter each item that will appear in the dropdown list. Repeat the Add Option step until all desired options have been added.

      Click Save to add the question to the survey.

      Managing Individual Questions

      Locate the survey on the Surveys page. Click Options, then select View Questions.

      The Survey Details page is displayed, listing all current questions in the survey. Each question has its own Options dropdown menu.

      Edit

      Opens a pop‑up form where administrators can:
      • Edit the question text
      • Add or update a Custom Message
      • Select a Question Type
      For field definitions, see Add a New Question above.

      After editing, select Save to update the question.

      Move to Top / Move Up / Move Down / Move to Bottom 

      Allows administrators to reorder the display order of questions within the survey.

      Delete

      Removes the question from the survey.

      Export Survey Results

      On the Surveys page, locate the survey you wish to export data for. Click Options, then select Export.

      This opens the Export Survey Responses pop‑up window. Select the date range for the export, then click Send Report.

      Selecting Send Report generates a CSV file containing survey responses. The file is emailed to the administrator with the CSV attached.

      Delete a Survey

      On the Surveys page, locate the survey you wish to delete. Click Options, then select Delete.

      A system message is displayed, asking for confirmation to delete the survey. Select OK to complete the deletion.

      Assigning a Survey as Pre‑Meeting or Post‑Meeting 

      Surveys are not designated as pre‑meeting or post‑meeting on the Surveys Page. Instead, this is determined at the meeting level.

      When creating or editing a meeting (or a meeting template), scroll to the Survey section:
      • Post‑Meeting Survey
        A dropdown list where administrators select which survey will appear after the meeting.

      • Pre‑Meeting Survey
        A checkbox that, when selected, reveals a dropdown list for choosing the survey that will appear before the meeting.

      Both dropdown lists pull from the surveys created on the Surveys page.
