Sending Meeting Announcements

This feature must be activated by your organization's Account Manager before it becomes available. 
Meeting announcements allow administrators, coordinators, and peer supporters to send email messages to members connected to a specific meeting. Announcements can be sent to registered attendees, waitlisted members, or members who have already joined the meeting.

Where to Create a Meeting Announcement 

Meeting announcements are created from the Upcoming Meetings page.
Click the Options menu for the meeting, then select New Announcement from the drop down menu. 

Create a Meeting Announcement 

Selecting New Announcement option brings you to the New Announcement page.
Here, you can customize the message with the following fields.
Select the Group of Recipients
Choose who should receive the announcement:
  • Registered - everyone registered for the meeting
  • Joined - everyone who has joined the meeting
  • Waitlist - everyone currently waitlisted

Message
Enter the text that will appear in the body of the email.

Send Later (Optional)
Leave unchecked to send immediately. Check Send Later to schedule a future date and time

When checked, a gray Schedule the Announcement button appears.

Clicking on the gray button brings up a date picker. Select the date and time when the announcement should be sent. A message can be scheduled up to three days in advance.

Select Create Announcement to save and send (or schedule) the message.

Manage Announcements

After the first announcement is created, an Announcements option appears in the side menu bar of the organization management module.
The Meeting Announcements page lists all announcements, both pending and sent.

The status column shows if the message was sent or if it is pending for a future delivery. Click View to review the message details. Pending messages can also be edited.

What Members Receive 

Members receive an email that includes:
  • the organization name
  • meeting details (name, host, date and time)
  • the message entered by the administrator
