Overview of EAP / Certified Client Functionality

Organizations that partner with HeyPeers as a Certified Client (also known as an EAP) receive access to additional tools that help them support their members, track participation, and manage referrals. This article provides a high‑level overview of what becomes available when your organization is flagged as a Certified Client.
Certified Client functionality is designed to help you:
  • Enroll members into your program
  • Assign case managers and referral companies
  • Track attendance and participation
  • View both your own meetings and shared HeyPeers meetings
  • Access reporting and exports specific to your program
The following sections summarize the key features you will see in your organization’s dashboard.

Enrolling Members 

If your organization uses the enrollment workflow, you can invite members into your program through a simple form. When a member is enrolled:
  • They receive a welcome email with activation instructions
  • If they do not activate within 3 days, they receive an automated reminder email
  • Their enrollment details (case number, referral company, case manager, services) are stored for your team’s tracking
  • You may deactivate an enrollment at any time, with the option to also unregister the member from future meetings.

Enrolled Members 

Certified Clients have access to a dedicated Enrolled Members page. This page displays all members who have been enrolled in your program.

From this page, you can:
  • Enroll new members
  • Edit or deactivate an enrollment
  • Resend invitations
  • Send upcoming meeting lists
  • View attendance summaries
  • Export enrollment data

Referral Companies 

Certified Clients can maintain a list of Referral Companies, the organizations or employers that refer members to your program.

On the Referral Companies page, you can:
  • Add new companies
  • Import a list of companies
  • Export your company list
  • View how many enrolled members are assigned to each company
  • Set a default company
  • Deactivate companies that are no longer active
  • Deactivating a referral company automatically unenrolls all members assigned to it.

Upcoming Meetings 

Your Upcoming Meetings page includes a filter that helps you distinguish between:
  • Certified Meetings - shared HeyPeers meetings available to your members
  • Organization Meetings - meetings your organization hosts
  • All Meetings - both types together
This allows you to quickly see which meetings you are facilitating and which meetings are provided through HeyPeers.

Meeting History

Certified Clients see enhanced reporting on the Meeting History page.

For shared HeyPeers meetings, you will see dual counts in key columns such as:
  • Attendees
  • Registrants
  • Waitlisted
  • Standby Accepted
  • Standby Offered
The left number shows counts for your enrolled members only.
The right number shows total counts for all participants.  These numbers are clickable and open a consolidated list of members for that meeting.

Attendance Summary

Each enrolled member has an attendance summary that shows:
  • Meetings joined
  • Absences
  • Participation across the services assigned to them
This helps case managers and administrators monitor engagement.

Certified Clients have access to several exports, including:

Member Experience

Enrolled members receive:
  • A welcome email with activation instructions
  • A reminder email if they do not activate within 3 days
  • Access to meetings that match the services assigned to your organization
  • Free registration for eligible meetings while their enrollment is active
Once activated, members can log in to HeyPeers at any time to join meetings and access support resources.
